World Race Package Policy
1) About necessities that always make it to the field:
a. Necessities are classified as things that are vital to a World Racer’s trip experience that cannot be purchased or acquired in the country or during route to a new country.
b. Necessities include: prescription medicine, replacement debit/credit cards.
c. Coaches will bring necessities with them when they travel to meet the team on the field.
2) About items that are not considered necessities:
a. These are the things that would be nice to have and would encourage a Racer, but are not vital to a Racer’s trip or could be purchased in the country, often much cheaper.
b. Examples include: vitamins, replacement gear, literature, and electronic components.
c. Anytime a racer requests a item that is not a necessity, you must communicate with office staff to get it approved. Items that are not pre-approved will be the last to be considered to be taken to the field.
d. Coaches will bring these items if and they have enough room and if their luggage stays underweight.
e. If items cannot be brought to the field, there are three options:
i. Items can wait for the next time coaches go to the field. If they have room this time, they will take the items.
ii. Items can be donated to local ministries in Gainesville.
iii. The sender can pay to have the item shipped and returned.
3) About items that will not be taken to the field:
a. These are the things that are superfluous or not cost effective to take to the field.
b. Examples include: food, candy, clothing, and personal hygiene items.
c. Coaches will not bring these items.
d. Items will be donated to local ministries in Gainesville.
e. Instead of trying to send these items, parents, friends, and supporters should send money to the Racer via their personal bank account that their parent or power of attorney should have access to. They can purchase the item in the country they are currently in.
4) About procedures for getting items to a racer:
a. Either the Racer of the person sending the package should contact the office to get the item pre-approved.
b. Once the package has been pre-approved, label each item with the Racer’s name in such a way that it will survive travel. If something is of high necessity, please label it accordingly and remind the World Race Staff that it’s on its way.
c. The World Race staff will give you a date and address to ship the package to in order for it to make it to the field. Most of the time packages will need t be sent to the AIM office in Gainesville, GA but sometimes due to time and necessity, they may need to be shipped directly to the World Race Coaches. All shipping costs are the responsibility of the racer or the sender.
d. If you send an item that is not considered a necessity (see above), then please include instructions on what to do with the item if it cannot be taken to the field. Again, all shipping costs are the responsibility of the racer or sender.
e. Please be aware that all packages will be opened from their original packaging in order for the coaches to pack the items for the journey. This is necessary because liquid items cannot be taken in carry-on luggage and sometimes the packaging is more bulky than the actual item. Again please put the name of the racer that the item is for directly on the item in case we need to re-package it for travel.
A Special Allowance:
Cards and letters from home can be taken to the field most of the time. We understand the value of this to racers on the field and will try our best to get these to the field each time a Coach visits. Cards and letters should be flat and compact. We would like to try and limit each racer to 5 cards or letters per trip because we will need to send them to the Coaches to pack. All of these must be sent to the AIM office two weeks before the Coach leaves for debrief to ensure that it will arrive on the field. Please mail these to:
